{"id":208,"date":"2020-01-31T13:59:05","date_gmt":"2020-01-31T13:59:05","guid":{"rendered":"https:\/\/jjwpr.com\/blog\/?p=208"},"modified":"2020-03-26T16:28:32","modified_gmt":"2020-03-26T16:28:32","slug":"school-communicators-take-note-for-flawless-execution-prepare-beyond-your-written-crisis-plan","status":"publish","type":"post","link":"https:\/\/jjwpr.com\/blog\/2020\/01\/31\/school-communicators-take-note-for-flawless-execution-prepare-beyond-your-written-crisis-plan\/","title":{"rendered":"School Communicators Take Note:   For Flawless Execution, Prepare Beyond Your Written Crisis Plan"},"content":{"rendered":"\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1023\" height=\"682\" src=\"https:\/\/jjwpr.com\/blog\/wp-content\/uploads\/2020\/01\/depositphotos_62230231-stock-photo-television-broadcasted-press-conference.jpg\" alt=\"\" class=\"wp-image-209\" srcset=\"https:\/\/jjwpr.com\/blog\/wp-content\/uploads\/2020\/01\/depositphotos_62230231-stock-photo-television-broadcasted-press-conference.jpg 1023w, https:\/\/jjwpr.com\/blog\/wp-content\/uploads\/2020\/01\/depositphotos_62230231-stock-photo-television-broadcasted-press-conference-300x200.jpg 300w, https:\/\/jjwpr.com\/blog\/wp-content\/uploads\/2020\/01\/depositphotos_62230231-stock-photo-television-broadcasted-press-conference-768x512.jpg 768w\" sizes=\"auto, (max-width: 1023px) 100vw, 1023px\" \/><\/figure>\n\n\n\n<p>Yesterday, it was the dismissal of a teacher at the Fieldston\nprivate school as a result of anti-Semitic remarks that enflamed tensions between\nJewish parents and school administrators.&nbsp;\nToday, it is concern over the Coronavirus and its impact on boarding\nschools with Chinese pupils and international study programs abroad.&nbsp; What will it be tomorrow?<\/p>\n\n\n\n<p>While most private schools \u2013 especially those with\nboarding school programs \u2013 have had had to put their crisis communication plans\nto the test with issues ranging from student fatalities to inappropriate\nteacher\/student relationships \u2013 <strong>how many have solid issue anticipation\nprograms in place<\/strong> to prepare for the crisis around the corner?<\/p>\n\n\n\n<p>In our experience, spending a little time and money\nupfront on thorough preparation goes a long way.&nbsp; For consideration: <\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>&nbsp;<strong>Updated contact information for ALL key\ninternal audiences<\/strong>.&nbsp; Most schools\nhave their Board members and leadership team on speed dial\u2026but anticipate\neveryone you want to communicate with directly in a crisis.&nbsp; This means working with Development to insure\nyou have up-to-date text\/email information for alumni, and with Admissions in\ncase prospective students need to be reached.&nbsp;\nWhen the crisis hits, you want to be able to press a button for instant\nnotification. <\/li><li><strong>Spokesperson\ntraining in advance<\/strong>.&nbsp;\nChances are, your Head of School and Communication Director have had the\nmost experience with on-camera or phone interviews \u2013 but <strong>how about your\nsubject matter experts<\/strong>? &nbsp;For example,\nyou might have your Head of Security as the spokesperson in a data breach\nsituation, or Human Resources for a roundup story on your school policies\nimpacting transgender students.&nbsp; &nbsp;<strong>Mock interviews<\/strong> &#8212; where your\nspokespersons can practice staying calm and circling back to key message points\nin the face of tough media questions \u2013 are a valuable exercise.&nbsp; Take it one step further by recording and\nplaying back the interview to observe body language, nervous habits etc.&nbsp; Make it engaging by involving the others in\nthe recap of what worked well and what needs improvement.<\/li><\/ol>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Make\ntime for issue anticipation and social media monitoring<\/strong>.&nbsp; Whether you appoint someone inside or work\nwith an outside firm, your Communications Director should be asking themselves\nthis question everyday: \u201cWhat\u2019s going on out there, and could it happen\nhere?\u201d&nbsp; Social media monitoring tools\nlike Hootsuite Insights and Synthesio allow you to monitor news sites, blogs\nand forums by specific topics and audiences.&nbsp;\nCultivate relationships with your PR\/communications network of\nprofessionals for best practice sharing.&nbsp;\nGoogle search recent cases on topics of concern to see how other schools\nhandled \u2013 or mishandled \u2013 issues and learn from their situations.<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Prepare\ntemplates for likely situations for a \u201cheadstart\u201d on your holding statement<\/strong>.&nbsp; While you can\u2019t have a statement for every\nsituation, you can identify likely issues within specific categories (e.g.\nmishandling of finances, security issues, personnel issues, accidents and\nfatalities etc.).&nbsp; Decide with your\nleadership\/crisis management team on key messages to deliver in each situation\n\u2013 then get the holding statement templates blessed by the legal team in\nadvance.<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Update\nyour media, social media and spokesperson policies<\/strong>.&nbsp; It\u2019s one thing to have these on paper, buried\non page 60 of your crisis plan, and another to proactively and regularly communicate\nthem to all members of your school family.&nbsp;\nYou want everyone to know what to do when the media calls, or how to\nhandle student friend requests on LinkedIn and Facebook.&nbsp; When new employees come on board, make sure\nthey are up to speed as well.<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Have\na system in place for the \u201cLessons Learned\u201d review<\/strong>.&nbsp; Decide who from the crisis team should be\ninvolved and schedule the review right after the crisis ends, while it is fresh\nin everyone\u2019s minds.&nbsp; Important:&nbsp; appoint a good note-taker to capture the\nconversation \u2026 chances are you, or a colleague, will need it for future\nreference. <\/li><\/ul>\n\n\n\n<p><strong>For more information on issue anticipation\nprograms and proactive media training, contact Robin Schell, APR, Fellow PRSA,\nSenior Counsel and Partner at Jackson Jackson &amp; Wagner at 603\/770-3607<\/strong>.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Yesterday, it was the dismissal of a teacher at the Fieldston private school as a result of anti-Semitic remarks that enflamed tensions between Jewish parents and school administrators.&nbsp; Today, it is concern over the Coronavirus and its impact on boarding schools with Chinese pupils and international study programs abroad.&nbsp; What will it be tomorrow?
