{"id":62,"date":"2017-02-09T19:16:39","date_gmt":"2017-02-09T19:16:39","guid":{"rendered":"http:\/\/jjwpr.com\/blog\/?p=62"},"modified":"2017-05-03T14:57:48","modified_gmt":"2017-05-03T14:57:48","slug":"clean-out-your-communications-junk-drawer-with-a-communication-audit","status":"publish","type":"post","link":"https:\/\/jjwpr.com\/blog\/2017\/02\/09\/clean-out-your-communications-junk-drawer-with-a-communication-audit\/","title":{"rendered":"CLEAN OUT YOUR COMMUNICATIONS JUNK DRAWER  WITH A COMMUNICATION AUDIT"},"content":{"rendered":"<p>It is a time for new beginnings, fresh thinking, purging files and finding different ways of doing things.\u00a0 If you\u2019ve been managing your communications function for a while &#8212; or, if you\u2019ve recently inherited the position and found yourself asking, \u201cwhy are we doing what we\u2019re doing?\u201d \u2013 it is a good time for an audit.<\/p>\n<p>The word \u201caudit\u201d is a bit daunting, but really what we\u2019re talking about is an <u>evaluation<\/u> of what you\u2019re doing now to see if it is:<\/p>\n<ul>\n<li><u>in line with your organization\u2019s goals<\/u>\u2026 your communication department\u2019s goals should be directly aligned with those of your organization<\/li>\n<li><u>meeting the needs of your stakeholders,<\/u> because if it isn&#8217;t, then why are you doing it?<\/li>\n<li><u>driving knowledge <em>and <\/em>behaviors<\/u> so that stakeholders act on what has been communicated<\/li>\n<\/ul>\n<p>A communications audit examines what you are doing now to assess what&#8217;s working and not working for your critical audiences.\u00a0 It helps focus on communications vehicles and messaging that has the greatest impact.<\/p>\n<p>JJ&amp;W asks the following questions when conducting a communication audit:<\/p>\n<ol>\n<li>What does your organization\u2019s communication <strong><u>system<\/u><\/strong> look like?\u00a0 We look at how communication is flowing from the top down, the bottom up and across the organization (laterally).\u00a0 Do you have a good balance of <strong><u>one-way<\/u><\/strong> and <strong><u>two-way<\/u><\/strong> communication tools?<\/li>\n<li>What <strong><u>audiences<\/u><\/strong> are you reaching with each communication tool? Have you asked these audiences how they would <u>like<\/u> to be communicated with, or are you just bombarding them from all directions and hoping something sticks?<\/li>\n<li>Have you accounted for the changing <strong><u>demographics<\/u><\/strong> of your target audiences? If you\u2019re a utility who is geared toward communication with the senior generation, have you thought about how you might change things up to reach the millennials who are becoming your customers \u2013 and will be with you for a long time to come?\u00a0 Are you communicating in the right <u>languages<\/u> (not actual languages but <strong>idioms <\/strong>of that generation)?<\/li>\n<li>Are the <strong><u>key messages<\/u><\/strong> resonating with your audiences? Are those messages driving understanding and behavior?<\/li>\n<li>How effective are your <strong><u>digital communication<\/u><\/strong> tools, including social media? Are your target audiences using and responding? Are they clear on where to get their \u201cneed to know\u201d vs. their \u201cnice to know\u201d communication?<\/li>\n<li>Do all your communications look like they come from the same organization? Do they have an easily-recognizable <strong>family look &amp; feel<\/strong> that immediately lets audiences know where to find information?<\/li>\n<li>Have you gotten the <strong>perspectives of more<\/strong> than the senior management team?
